Transfer of saved searches and alerts to the new EBSCO interfaces (library team facing FAQ)
The move to EBSCO’s new user interfaces requires a revised set of arrangements around items saved in your MyEBSCO (Folders). We will see the impact of this change first on the Hub but the same MyEBSCO account applies to EBSCOHost so you should get started now with preparing your account for transfer.
An FAQ for library users that focuses on the process is available https://support.library.hee.nhs.uk/support/solutions/articles/27000120938-How-do-I-move-my-saved-searches-records-and-alerts-from-the-old-Hub-to-the-new-Hub-interface-
During the transition period new saved searches in EBSCOHost will continue to be synced across when you login to the Hub. Not all items will copy across automatically and those that do transfer automatically may do so in a limited fashion so saving key strategies is a good precaution.
EBSCO have prepared some supporting materials Connect article: How can I access my classic user interfaces MyEBSCO data from EBSCOs new interfaces. Do read the Connect article carefully as it details which elements will be copied across when you login to the new user interface and which will not. You may need to move saved searches into the correct folder.
Note in particular:
- Search Alerts are not transfered across – you can partially move them by going into the alert, retrieving it and then saving it as a search instead. This will allow you to find it on the new MyEBSCO and recreate it later. Please note that alerts on the New UI can only be sent to one email address at present.
- Journal alerts will not be transferred across. These will need to be set up again.
-
Custom folders are not transferring across – you have two options here but in all cases we would suggest deleting any Custom Folders no longer required to clear the decks. Then:
- Locate the search in your Custom Folder. Select it and use the “Move to” option to add it to the Saved Searches folder which will transfer. You might wish to edit the search name to make it more descriptive prior to doing this.
- Alternatively, when in the new user interface if you go to the Projects folder this will include an option to download a report of your old folders. This option will be available till 31/12/2025. This downloads all of the information in your folders. While this is complete the file is unwieldy with over 100 columns and you should seek to minimise the number of saved items if at all possible.
- Saved items (bibliographic details) are mostly transferred across but we would recommend copying these into your reference management software of choice as a more reliable and flexible alternative.
There is a further recommended Connect article on the Dashboard in the NewUI this includes further information on which elements will transfer and which will not. You may also benefit from this Connect article on How to use the current Folders as you prepare.
We appreciate this will be a tricky change. The option to download a report of your folders will remain for some time but a thorough weeding now will be time well spent. The Saved Searches folder on the Classic interface is the main element that will be synced.
