What emails does INCDocs generate?
INCDocs generates 4 different emails for 4 different stages of requesting:
- Confirmation of request to requesting library
- Request email from requesting to supplying library
- Request declined email from supplying to requesting library
- Request supplied email from supplying to requesting library
They are all sent from the INCDocs email address donotreply@libkey.io so please ensure this email address isn’t blocked in your trust.
How the emails work in more detail
- When you click to request an article from another library INCDocs automatically sends you an email to confirm this, and includes the request details etc.
- At the same time INCDocs automatically sends an email to the supplying library requesting the article, with a link to that article to download it.
- When the supplying library is ready to send the article back, the staff member clicks a button in INCDocs to generate an email to send the article to the requesting library. There are two options depending on which type of email system the supplying library uses. For most email systems (for example if you use Outlook Desk Top), it is the top button. For Outlook Web, it is the lower button. It is possible to customise this email before sending. Please remember to check that the article is attached before clicking 'Send' and then return to mark the request Complete in INCDocs.
- If a supplying library is unable to supply, the staff member clicks a button to decline the request and an email is generated to the requesting library. At this point it is mandatory to include the reason.
