Why might I need to decline to supply in INCDocs?
The ILDS good practice guidelines state that supplying libraries reserve the right to decline a request but should provide a reason.
One reason may be that you subscribe to a collection which is 'on demand' and for which you have purchased tokens. In this case you are certainly at liberty to decline. Please state the reason in INCDocs when you decline. It is not possible to 'switch off' these packages in INCDocs so that they aren't searchable. All the collections you have selected in Holdings Link Manager are searched by INCDocs.
Another reason is that the holdings data which INCDocs is searching is incorrect or out-of-date. Maintaining your holdings in Holdings Link Manager is vital for good user experience on the Hub, LibKey Nomad and database searching. Incorrect or out of date holdings will cause requests to fail which slows the speed of delivery and generates noise in the system
There is a time lag between updating HLM and the data being searchable in INCDocs. At present data is only updated in ThirdIron systems once a month (around the start of the month). This might mean that for a few weeks INCDocs believes you hold a particular collection even though you have deleted it in EBSCO's HLM. In this case please simply decline the request in INCDocs, stating the reason. To address this issue we are working with Third Iron to increase the frequency with which the data in all their products is refreshed.
We have seen some cases where the requesting library double clicked the request button resulting in identical near simultaneous requests. Please supply against one and decline the other to close the request.
